Membership terms and conditions

Terms and conditions

  • Public/alumni members must write and give at least 1 calendar month notice if terminating membership and must be a member for at least 3 months before being eligible to cancel membership. If you join during the month the full month fee will be payable.
  • Cancellations/refunds/temporary freezes of membership will be at the discretion of Sussexsport management.
  • Members are required to give written notice to Sussexsport of any changes to contact information. We will assume that all correspondence sent by us has been received within 5 working days of mailing.
  • Membership is non-transferable. If another individual uses your card to attempt to gain access to the facilities, Sussexsport reserves the right to terminate your membership without refund.
  • Annual public/alumni Gold or Silver memberships are for 12 months. If paying by part payments, each month must be paid for regardless of use until Sussexsport receive written notice of cancellation and a minimum 3 months has been completed, in accordance with clause 1 above.
  • Staff paying by salary deduction are committed to paying for the full membership. Cancellations can only be made as per point 2 above or by presenting evidence i.e. leaving the University.
  • All additional membership benefits are subject to availability and refunds will not be given for sessions that are not taken up.
  • Members are responsible for their behaviour and that of their guests. Unseemly behaviour could mean termination of membership without refund.
  • Photography and video recording of any kind is not allowed in the sports facilities unless written permission is received from the University's Publications and Branding department or Sussexsport.
  • Membership data will be used anonymously for usage analysis purposes.


  • Failure to present proof of membership upon arrival may result in a charge of £1.60 (£8 for gym usage) being applied, payable before access will be granted to the facilities.
  • A member can only book consecutive time slots, simultaneous slots will not be allowed, members must attend all sessions booked in their name.
  • Membership does not guarantee access to classes/facilities. You must book ahead to reserve your place by booking via the telephone, online or at reception.
  • Sports injury appointments must be paid for at the time of booking.
  • 24 hours cancellation notice must be given on all bookings regardless of membership type (sports injury clinic require 48 hours cancellation notice), otherwise full rates will be charged.
  • Failure to attend bookings or provide suitable cancellation notice will result in arrears for the full cost of booking regardless of membership type. Use of the facilities or bookings will not be permitted until all arrears have been paid.
  • If you have booked facilities using your membership and are playing with a non member, a guest fee of £1.60 per person is required. Only members are entitled to membership rates. This does not include the fitness room, where higher guest fees will apply.
  • Public/alumni members can purchase parking cards from either reception if using the facilities between 9am-5pm Monday to Friday. Staff parking permits are available from the University's Transport team.
  • Gold members can book up to 10 unpaid advance bookings for group exercise classes, Silver members 7 and Bronze members 5.
  • Please do not arrive late for any of the classes. Entry to classes will be denied if you are more than 10 minutes late.

Force Majuere

If the University of Sussex is rendered unable wholly, or in part, to carry out its obligations by reason of force majuere, the University will give notice and therefore be released from those obligations which can no longer be fulfilled. Force majuere can also be interpreted to include circumstances beyond the control of the University.


  • Sussexsport reserves the right to close the facility for any period of time when required for tournaments, exhibitions or other activities, or in connection with any repair, alteration or other maintenance work. Advance notice of any closure periods will be given, wherever possible.
  • The Sport Centre will be operating on reduced hours and days during the summer period. The opening times will be updated on notice boards and our website and should be checked by all members.
  • Appropriate, clean clothing and footwear must be worn at all times.
  • Notices and signs displayed around the facilities (indoor and outdoor) must be obeyed at all times and equipment used safely and appropriately.
  • The University of Sussex regrets that it cannot accept responsibility for theft, loss or damage to the property of members, guests or visitors, however caused. Any property stored in the lockers is stored at the individual's risk. Any vehicles (and contents) parked in the car parks are the owner’s responsibility.
  • Lockers are available for use only while you are using the facilities. Use of a locker while not in the premises is prohibited. If you leave your belongings overnight in a locker, Sussexsport reserves the right to open the locker (by force if necessary) and remove your belongings. Any breakages to the padlock will not be refunded.
  • Your belongings, so removed, will be available for collection from our reception for a period of 30 days. If you do not collect your belongings within 30 days, they may be donated to charity.

Fitness Room

  • Please remember to bring your towel at all times. If you forget, we have towels for sale at reception.
  • Please leave bags in lockers. Staff will ask users to remove any bags found in the fitness room. Padlocks are available to hire or you can bring your own or purchase one from reception.
  • If the gym is noticeably busy, the maximum time on cardiovascular equipment will be 15 minutes.
  • Please allow others to use resistance machines between sets.
  • You will always need to bring your ID card.
  • Fitness room users must be at least 16 years old.


  • Refunds will be given 24 hours before a course starts, if Sussexsport have cancelled the course, or if participants bring a valid doctors note.
  • To guarantee a place on a course it must be paid for at the time of booking. We cannot ‘hold’ places.
  • The details you provide us with will be stored on our membership database and will be used by us to administer your membership. We may contact you from time to time with relevant information or offers.
