What Is Pre-Placement/employment Screening?
Pre-placement screening involves completing a confidential online health questionnaire, which is reviewed by our Occupational Health provider, Heales Medical. The purpose is to make sure that staff can safely perform the duties of their role, and to identify whether any adjustments or support may be needed.
This is not a test of fitness or ability, it’s about understanding individual health needs and making sure the right support is in place from the start.
Why are the questions so personal?
We understand that some of the questions can feel personal. The questionnaire may ask about:
- Medical history
- Mental health
- Medication
- Long-term or fluctuating health conditions
These questions are designed to give a full picture of your health in relation to your role. They are reviewed only by qualified healthcare professionals at Heales Medical, and not by managers or HR. This information helps them:
- Advise on any adjustments you may need
- Identify risks that could affect your health or safety at work
- Make evidence-based recommendations to support you in your role
Confidentiality is a priority
All information you share is handled in line with medical confidentiality and data protection laws (including GDPR). Your medical details are never shared with your manager or HR.
Only a summary report is shared, which may include:
- Confirmation that you are fit for the role
- Suggestions for reasonable adjustments (if needed)
- A recommendation for further assessment (if applicable)
You will always have the opportunity to review this report and give your consent before it is shared.
How does the process work?
If pre-placement screening is required:
- Your contact details are securely sent to Heales Medical.
- You will be contacted directly by email and/or text message.
- You’ll receive instructions to complete an online questionnaire.
- If needed, a clinician may follow up with you directly for more information or to arrange a phone/video consultation.
- A summary report is sent to the University only with your consent.
