Responsibilities of Users

 

Self service photocopying

 

To provide managed facilities for self service photocopying in the Hastings Building and Sussex House.

 

To make use of self service photocopiers with due care.

Maintenance

To maintain paper stocks and consumables, clear jams, and report faults where found.

 

To report machine faults where encountered to the Print Unit on ext 8216.

Charging

To operate a copy charging system by the use of pre-paid copy cards available through the Print Unit. Unused copy credit will be refunded when the card is surrendered.

 

To ensure that copying is only undertaken by use of the copy cards provided. Lost or stolen cards are the responsibility of the user, not the Print Unit.

To make available to users information regarding the Copyright Licensing Agency copyright restrictions on photocopying.

 

To ensure that CLA guidelines are adhered to at all times.

 

Assisted photocopying

 

Hastings Building

 

To provide an assisted photocopying service, including colour copying and binding, between the hours of 9.00am and 5.00pm, Monday to Thursday, and 9.00am and 4.30pm on Fridays, in Hastings Building.

 

To ensure that photocopying work is submitted in good time to allow its completion within these hours.

Turnaround time

 

Where possible to complete all work requests by the date stated on the requisition. Undated requests (including those marked 'ASAP') will be treated as non-urgent. At peak times a first come, first served system will apply. We offer no guarantees that requested deadlines will be met at peak times. Turnaround time is normally 5 working days from receipt of order, subject to size and complexity of the job. In September/October turnaround time is up to 10 working days due to the volume of work during this period.

 

To allow a minimum of 5 working days for completion of submitted work except where faster turnaround has been agreed in advance. To allow 10 working days for completion of work in the September/October period.

To provide a managed printing service between the hours of 9.00am and 5.00pm, Monday to Friday.

Approved suppliers

 

All printing work to be placed with a University-approved supplier and managed via the Framework Agreement for print, except where the work cannot be undertaken by such a supplier.

 

To ensure that all printing work is undertaken by an approved supplier, except where authorised by the Print & Reprographics Manager.

Charges

All externally sourced printing to be recharged to the requestor at cost plus management charge of 10% of the value of the job, or £100 (whichever is the lower).

To provide an in house digital colour printing service where appropriate, chargeable in addition to externally sourced printing.

Estimates

 

To provide estimates for printing work to requestors as required, within 5 working days of enquiry.

Proofs

 

To provide proofs in an appropriate format of all jobs prior to printing.

 

To check all proofs carefully and provide written approval prior to printing. To accept responsibility for copy errors not picked up at the proofing stage.

Turnaround time

 

Turnaround time is normally 5 working days from receipt of proof approval, subject to size and complexity of the job. For large or complex jobs, turnaround time is up to 10 working days from proof approval. Requestor to be informed where turnaround time exceeds 10 working days.

 

To allow a minimum of 7 working days (including proofing time), plus a minimum of 5 working days where typesetting is required, for the completion of work requests. To give notice of time-sensitive jobs in advance; lead times for such jobs to be set by agreement with the Print & Reprographics Manager.

 

Deliveries

 

Completed print/copy jobs to be dispatched to the reception or porter\'s office nearest to the requestor\'s location via the internal post/delivery service, accompanied by a delivery note, except where other collection or delivery arrangements have been agreed in advance. The Print Unit is not responsible for work once it has been signed for by premises staff at the delivery point.

 

To accept responsibility for jobs once dispatched via internal post. Where this is not acceptable, to notify the Print Unit in advance and to agree to collect finished jobs from the Print Unit. To agree other special delivery arrangements with the Print & Reprographics Manager in advance where required.

 

ID Cards

 

To provide a free University ID card to all new students and staff on request, between the hours of 9.30am - 12.30pm, Monday to Friday. Where staffing levels allow, the service will open additionally between 2.30pm and 4.30pm, Monday to Friday. ID cards will not be issued to requestors outside these times except by prior appointment. Group bookings to be made at least 24 hours in advance.

 

Requestors to apply in person to the Print & Reprographics Unit, Hastings Building, with proof of identity, within the specified hours.

Lost/stolen cards

 

To provide replacements for lost/stolen ID cards on request, at the times stated above. Stolen cards to be replaced free of charge upon receipt of a valid police crime number. Lost cards to be charged at £10.00 each.

 

Requestors to provide a valid police crime reference number or pay £10.00 each for replacement ID cards.

Registration

 

During Registration, to provide an enhanced ID card production service to registering students at an agreed location. ID cards will be unavailable from the Print & Reprographics Unit at this time.
