Migrating to OneNote for Microsoft 365

Why You Need to Migrate

If you're using OneNote for Windows 10, you may see a message saying it will reach end of support on October 14, 2025. If you see this message you need to migrate your notes to the new version of OneNote which is part of your O365 package.

NB. Do not click the “Switch now” button — it will take you to the Microsoft Store.

The Microsoft 365 version of OneNote is already installed on university-managed devices

If you're using a personal device and haven’t installed Office 365 yet, follow this guide:
Office 365 for students – University of Sussex: https://www.sussex.ac.uk/its/services/software/owncomputer/office

Check Which Version You’re Using

1. Open OneNote.
2. Go to File > Account > About OneNote.
3. If it doesn’t say Microsoft 365, you’ll need to migrate.

If you are already using the M365 version no further action is required.

Steps to Migrate to OneNote for Microsoft 365

1. Sync Your Notebooks

  • Open OneNote for Windows 10 and make sure all notebooks are synced to OneDrive.
  • Look for a green checkmark next to each notebook.
  • If not synced, right-click the notebook and select Sync.

2. Unpin Old OneNote (Optional)

If OneNote for Windows 10 is pinned to your taskbar:

  • Right-click the icon and select Unpin from taskbar.

3. Open Notebooks in the New OneNote

Open the new OneNote app (included with Microsoft 365):

  • Click Start, scroll to find OneNote.
  • Go to File > Open > OneDrive.
  • Sign in with your Microsoft account.
  • Select and open your notebooks — they will sync automatically.

4. Manually Transfer Un-synced Notes (If Needed)

If you think some notes didn’t sync:

  • Open both versions of OneNote side-by-side.
  • Copy and paste any un-synced content manually.
  • NB. Avoid re-syncing old notebooks — it may overwrite changes.
