New Outlook calendar launched to support institutional planning and coordination

A new institutional Outlook calendar is now live and available to all staff.
The calendar – called ‘Staff Calendar’ – has been reintroduced to improve planning, coordination and visibility of key activity across the University. This replaces the previous Corporate Calendar which has not been available for some time. The new calendar brings together important University dates and high-impact events into one shared place, helping colleagues anticipate busy periods, avoid clashes, and understand when activity may affect business-as-usual work.
The calendar consolidates information from across Professional Services and other central teams, including:
- Annual cycle dates (e.g. term dates, teaching weeks, minimum service days, assessment periods, awareness and observance days)
- Student-facing activity such as recruitment timelines, admissions milestones, accommodation dates and graduations
- Governance dates (e.g. corporate committees)
- Use of campus, including major internal and external events, and football fixtures affecting parking
- High impact events, disruptive works and major project milestones where there may be operational implications.
Please note that not all on-campus events will be included, only those deemed high impact.
The calendar is managed by the Vice-Chancellor's Office, hosted as an Outlook Shared Calendar and is visible to all staff.
How to access the new calendar:
In Outlook:
- Go to Add Calendar
- Select From Address Book/Directory
- Search for Staff Calendar
You can then add it to your calendar list for ongoing reference.
This is an evolving resource. Colleagues are encouraged to share feedback to help improve usability and coverage. Comments or suggestions can be sent to: staffcalendar@sussex.ac.uk
