What’s new in Finance

Where to seek help

The Finance Service Desk is the place for staff to go to get help with all day-to-day finance and purchasing enquiries. Now you can also contact them for more specialist advice. They’ll connect you with our experts so you don’t need to worry about finding the right person in Finance for help.

Contact them at Queries received by other teams within Finance will be directed to the Finance Service Desk to ensure rapid and consistent support at all times.

We’ve also been working on updates to our website. Take a moment to familiarise yourself with our new layout, especially Getting Help and Hot Topics and news, which provide guidance and resources to help you carry out your finance-related responsibilities at the University.

Take a moment to re-read our previously published hints and tips on making travel easier and getting value for money when purchasing on behalf of the University.

Purchasing cards

Using a University purchasing card is sometimes the best option for staff to get value for money when travelling or buying things online. We’ve created a new guide to help staff decide when and how to use one. The Finance Service Desk can advise you who has an existing purchasing card in your area, and will action completed applications for new purchasing cards.

By popular request, you can now also attach your purchasing card receipts electronically in the finance system so you don’t need to keep those paper receipts any more - the new guide tells you how to do this.

Supplier invoices

We’ve gone paperless for supplier invoicing. If you receive an invoice, forward the email or a scanned copy of the paper invoice straight to Please destroy any paper invoices once you have emailed them.

We’ve made supplier invoice processing more efficient. If you receive an email requesting information from the new invoice capture platform - - please don’t ignore it.

Travel insurance

On 13 December, we will launch a new online travel insurance system for overseas travel and overnight trips in the UK. The system will provide an easy and accessible way to arrange travel insurance cover for your business travel needs and will be available via Sussex Direct. Key features are: 

  • no more paper forms
  • an immediate confirmation of the cover provided to the traveller and the School/Division

Information on how to access and use the system will be published on our website soon.

New e-learning

We’ve launched new e-learning modules on anti-money laundering, fraud awareness and modern slavery. These courses are very important for staff with finance-related responsibilities and you’ll receive an email with more information soon.
